1/25 - Child Abuse Certification requirements deadline approaching & BBP requirements
  CHILD ABUSE CERTIFICATION:

As a substitute for 2010-11 school year, whether you are returning, new, or transferred from another district, your certification for Child Abuse must be completed by 1/31/11 or your SubFinder Profile Account will put in restrict status, which will not allow you to work.

Child Abuse Certification is a mandated state law requirement for the state of Oregon. As a substitute, you are required to go online and complete the Child Abuse Tutorial (about 40 minutes) and on the last page, put your first name, last name, and use the email address of: subfinderhelpdesk@mesd.k12.or.us

Click Submit, so that your request gets sent to the SubFinder Help Desk and we can enter this information into your SubFinder Profile account.

If you completed your Child Abuse Certification in another district and provided us proof, we have entered this information in your SubFinder Profile Account.

Please go online to SubFinder: https://mesd.subfinderonline.com/

Log in and go to your Personal Info and click on the box named: Certification


If you do not see the following: - CAPT - followed by an expiration date this means you have NOT completed it and your SubFinder Profile will be put in restrict status on January 31, 2011 (not allowed to substitute) until it is received by the SubFinder Help Desk.

This is a friendly reminder to go online and look at your certification. If you do not have this listed in your certification area, then these subjects have been removed from your SubFinder Profile account. Option #3 CANCELS THE ENTIRE JOB ASSIGNMENT which is fine if you only want to cancel the job for just a one day assignment

BUT FOR LONG-TERM JOBS

Option #4 CAN BE USED BY THE LONG-TERM SUBSTITUTE TO ONLY CANCEL A DAY OR A CERTAIN AMOUNT OF DAYS and will leave the rest of the job intact.

Make sure if you are in a Long-Term Assignment you know to call SubFinder 1-866-515-1038 and cancel your job for just the date(s) you need another sub to come in and cover. Some of the Long-Term substitutes are calling the SubFinder Help Desk or the School and leaving a voice message. By the time we get the information, valuable time has been lost trying to find a sub replacement. This way, if you are a Long-Term substitute, you call your cancellation in at anytime and SubFinder can call during the call out times of 4:30p - 11:00p or by 5:00am.
3/9 - Helpful Hint...Job starts in 15 minutes - what to do?

IT'S WONDERFUL WEDNESDAY AND WE HAVE TODAY'S HELPFUL HINT:

Question:

What do I do when I receive a call from SubFinder, play the job and the job start time begins in 15 minutes and I know I can not get to the school in time? 

Answer:

If you can arrive in "less than 30 minutes" of the scheduled job start time, then accept the job BUT please contact the school directly and either leave a message or advise someone approximately what time you will be arriving.  School telephone numbers can be Goggled or you can get them from our Substitute Website:  http://www.mesd.k12.or.us/hr/subtch/subfndr.shtml   just click on the school district, click on Sites & Boundaries.

SubFinder continues to call on jobs even when it gets close to the start time of the job as it's still looking for a substitute for that job.  If you find yourself in this type of situation, you can still choose to accept the job if you can arrive with in 30 minutes of the job start time.  As a courtesy, contact the school and advise them that you just now got notice of this job and cannot get there by the scheduled start time but can get there by ______ time.  If you can arrive with in 30 minutes or less of the school start time, most schools will wait for you and will be pleased that you contacted them. 

If you accept a job and it's going to take you MORE THAN 30 minutes to arrive at the school, you can accept the job BUT YOU MUST CALL the school to see if they will wait for you.  Any time beyond 30 minutes from the job start time may cause hardship for the school and students schedule.  You do not want to make an impression to the school that you accepted a job that starts in 15 minutes but you cannot get there for an hour.  This will be a school decision on whether or not they will wait for you.  If they choose not to then you must go back into the job and cancel it.  See Option #3 of your telephone instructions or go on WebConnect Online and cancel the job.

Alternative Education, Campus Safety Monitor, Classroom/Education Assistant, EH Aide, Family Consumer Education, Industrial Arts, Instructional/IMC Aide, Noon Assistants, Physical Education, Prearrange Only, Science General and Advance, Secretary and any Special Education Early Childhood, Multi-handicapped or Social Emotional position(s).

3/15 - A message from CRS SubFinder Caller ID Change
   

Effective March 21st 2011, the telephone number that appears on caller ID systems when SubFinder calls substitutes will change. It will no longer show 800-782-3463. This number has been replaced with 570-651-4588.

We have made this change in order to reduce the number of direct calls to CRS from substitute teachers. If substitutes call the new phone number displayed, they will be instantly directed to a voicemail message indicating that the call they received came from the SubFinder system.

3/28 - Re-registration for 2011-12 school year news!!
    Hello Substitutes,

As we are wrapping up this 2010-11 school year we are looking ahead to re-registration for this next 2011-12 school year.  Re-registration will begin earlier this year and it will be open for a two month period of time to make sure we give our substitutes plenty of time to complete all their requirements.   It is our goal to have all substitutes current in certification,  to remain in compliance with all our State and Federal regulations, and to get everyone ready for the new school year by July 1st, 2011. 

All substitutes will be receiving in the mail, all the re-registration instructions the last week of April (pending mailing time) as re-registration will open MAY 1st.  Before we mail the re-registration instructions, go online NOW - BEFORE 4/15/11 and make sure we have your correct mailing address.  Log into your SubFinder Profile Account.  You do this by going to the SubFinder WebConnect Online website at:

https://mesd.subfinderonline.com/

Log in with your User Name:  (your last name)  and your password (PIN Number) and go to Personal Info,  Address and view the address we have on file for you.  If this in incorrect, email us at:  subfinderhelpdesk@mesd.k12.or.us   for instructions on how to change your address BEFORE 4/15/11.

Re-registration will begin May 1st and run through June 30th, 2011.  This will give all substitutes 2 months to complete all requirements.  On July 1st, re-registration will close and if you did not re-register, your SubFinder Profile Account will be inactivated. 

IMPORTANT:  All RE-REGISTRATION MUST BE COMPLETED BY JULY 1st 2011 IF YOU WANT TO SUBSTITUTE FOR THE 2011-12 SCHOOL YEAR.

Make sure you READ ALL instructions and follow ALL requirements.  All requirements of the re-registration process must be completed or it may may result in your SubFinder Profile Account being inactivated.  It is the substitutes responsibility to make sure they are current in all certifications applicable, are in compliance and have completed all required re-registration procedures. 

Current address, telephone number and email addresses are imperative.  You may change your telephone number and email address online through WebConnect yourself.  Address changes must go through the SubFinder Help Desk.

4/28 - SubFinder Upgrade Notification

4/29 - 2 New Email Notification Features For You!!
    Happy Friday Substitutes,

For those of you who have your email address located in your SubFinder Profile account, you will now be receiving an additional email notifications to assist you will better communication between SubFinder and your jobs.

Effective today 4/29/11, the following email notifications will be sent to you if it affects any current jobs you have:

1. Substitute Prearranged - This notification will be sent to the substitute any time they are prearranged for a job assignment by the operator, an administrator, or an employee.

Currently, when a SubFinder Operator, SubFinder School Administrator or an employee "Prearranges you for a job" this means someone has already spoken to you and has made a "Prearrangement for a job assignment".  SubFinder does not send out reminder telephone calls for these jobs, however, you may log into SubFinder Online or call the SubFinder Telephone Line and review your jobs at anytime.  This new feature will now send you an email when a job has been "Prearranged" for you in SubFinder.  This email notification will only generate if you have an email address in your SubFinder Profile account and it is current and correct.

If you want to check on your email address in your SubFinder Profile account, please log in online:

Go to Personal Info, Address and check your email address in your SubFinder Profile Account to make sure we have the most current email address and it is correct.  If we do not or you need to make a change, you make change it yourself in SubFinder online.  Make sure you SAVE the change before you log out.

2. Job Cancellation – Substitute Removed from the Assignment - This notification will be sent to the substitute any time a job they previously accepted has been canceled by the operator, administrator, or the employee, or in the event they are removed from a previously accepted assignment by the operator or administrator.

This is also a new feature.  If a job you are already confirmed in is canceled, SubFinder asks the SubFinder Operator, Administrator or Employee, "Do you wish SubFinder to call the substitute?"  The SubFinder Operator, Administrator or Employee should check the "YES" box and this will generate a telephone call from SubFinder to the substitute.  As an additional feature, SubFinder will ALSO send the substitute an email to let them know when a previously accepted job assignment has been canceled. 

Again, please make sure your email address in your SubFinder Profile Account is current and correct.

5/3 - Re-registration packets should be arriving...
    Dear Substitutes,

Happy May!!! Brings more spring flowers!!!

Re-registration packets were mailed out last Wednesday (4/27/11).  Pending mail service in your area, you should have already received it or will be this week.  It will consist of two documents, a Recess Letter (must be completed and returned to the SubFinder Help Desk) and Instructions (read both sides) on the requirements to re-register.  Please READ and follow ALL instructions very carefully as your ability to continue to substitute will depend on completing all steps.

(The most common mistake on the Recess Letter is substitutes forget to check the box stating they are returning and/or forget to sign and date).  If this is not completed, the form will be considered incomplete and you will be notified your re-registration is incomplete.

We have simplified the re-registration process for you.  Most of it is all online and will require you to re-certify your Bloodborne Pathogen (if applicable) and Child Abuse Prevention Trainings (everyone is required) "online".  Don't forget to go online and log into your SubFinder Profile account and check your "expiration dates" for these certifications.  Go to Personal Info, Certification to see the dates!!    Once you have taken the original Bloodborne Pathogen Training class, you can renew "online" each year from there.  If you let it expire you will be required to attend the 2-hour Initial class again.  Child Abuse Prevention Training is an online renewal and is a requirement every year for ALL substitutes.  One other critical step of your re-registration is to call the SubFinder Telephone line to pre-registration by pressing Option #7.  This is very easy.  

If you do not receive your re-registration packet by 5/9/11, please email the subfinderhelpdesk@mesd.k12.or.us  and let us know.  Make sure you have logged into SubFinder Online and checked your mailing address that we have in your SubFinder Profile account.  Go to Personal Info,  Address and double check.  It's vital we have your most current mailing and email address. 

Re-registration will close June 30th which gives you 2 months to complete all steps.  If you do not complete all steps your SubFinder Profile account will be put in  "restricted" mode and you will not be able to substitute.   I would suggest logging into your SubFinder Profile account in July and double checking everything is good.  If you cannot log into your SubFinder Profile account, this may indicate your account has been put in restricted mode and you need to email the SubFinder Help Desk:  subfinderhelpdesk@mesd.k12.or.us  for further instructions.

We are looking forward to working with you again this next 2011-12 school year.  Please be advised that school will not end this year until around June 17th.  We still have jobs to fill.  Last Friday and Monday  we had several certified and classified jobs go unfilled!!  Please make sure if you are unavailable to put yourself in either Unavailable or Do Not Disturb so that SubFinder can reach substitutes who want the work.

Substitute Notes:

This feature allows you to provide valuable feedback regarding your time in a job to the absent employee, administrator,
and system operator. Substitute notes can be added once a job has started and edited at any time, so if you’re in a
multi-day assignment you can update the notes as often as necessary. Keep in mind, the employee, administrators, and
operators will be able to see your message once it’s been posted so make sure you’re comfortable with what you’ve
entered before clicking “Save”.  (This feature has been turned on for substitutes to use)

Tracking Job Positions in the Itinerant Schedule:

We’ve recently expanded the itinerant schedule functionality to include the selection of job positions for each schedule
segment. This will allow your organization to track not only the sites at which an itinerant employee may work, but also
the various job positions they may work day to day. If your organization is tracking the employees’ itinerant schedules,
they will be displayed online when reviewing the job details. You may also hear the schedule on the phone if the
employee voiced it.

It's that time of year again when we need to be aware of weather and possible school closures.  On our Substitute Information website (see link below) about half way down on this website page is FlashAlert.  This is an excellent source to check school closures for Portland counties.

Remember, if you have a job for a day that there is possible weather issues, it is your responsibility to make sure you check to see if that district has a late start or closure to determine if you go to that job. If the school is open but you are unable to make the job due to weather conditions where you live, please call SubFinder 1-866-515-1038 and cancel yourself from the job as soon as possible (Option #3) so another substitute can be called to fill the job. If you are in a long-term substitute position you use (Option #4) to remove yourself from the job for a particular day.
11/30 - Are all your certifications updated and renewed?
   

Hello Substitute,

THIS IS A GENERIC EMAIL TO ALL SUBSTITUTES

We are still receiving calls from schools and teachers who want to request a particular substitute but cannot because one or more of their certifications are either not current or are close to renewal. This prevents schools and teachers from requesting the substitute they want or to request them for a future job when one or more of the substitutes certifications are not renewed.

We also have some SubFinder accounts that have expired licenses, expired Child Abuse or Bloodborne Pathogen certifications which will "inactive" your SubFinder account and you will not be able to receive calls for jobs. If your SubFinder account stays in an "inactive" status more than one month, your SubFinder account may be a candidate for removal from the SubFinder system. Please read all the instructions below carefully.

It is VERY important you check your SubFinder account and make sure we have your current certifications on file. If you did not notify the SubFinder Help Desk that you renewed one or more of your certifications your SubFinder Profile account may not be updated. Renewal programs like CAPT Child Abuse BBP Bloodborne Pathogen DO NOT automatically generate an email message to the Help Desk advising us you have renewed. You must send a separate email to: subfinderhelpdesk@mesd.k12.or.us advising us you have renewed one or more of your certifications.

To make sure your SubFinder account is current:

Go online and log into your SubFinder account: https://mesd.subfinderonline.com/

Enter your User Name: (Last name)
Enter your Password: (2 digit birthday month, 2 digit birthdate, last 4 of Social Security)

Go to Personal Info, Certifications to make sure your CAPT (Child Abuse) is current and BBP (Bloodborne Pathogen) Certification (if applicable) is current.

For Substitute Teachers, Registered Nurses or any licensed substitutes, check your TSPC or State Board Licensing information to make sure it is current.

Also make sure your Sites and Positions are where you want to substitute at and what positions you wish to work in. While you are in there go to Address TAB and make sure we have your current email, telephone number and address. Substitutes cannot make changes to their positions, sites or addresses. You can email the subfinderhelpdesk@mesd.k12.or.us for those changes. You can make changes to your email address and phone number only.

Remember, it is YOUR responsibility to make sure your account is current and that we have received your most current Licensing, CAPT BBP renewal information. We highly recommend that you renew your CAPT BBP now so that they are current ALL SCHOOL YEAR so schools can book you for future jobs without running into problems with your certifications.

When you complete your CAPT, on page 102, it asks for your First Last Name and email address. If you put in YOUR email address, the SubFinder Help Desk does NOT receive notification that you have completed or renewed your CAPT. You must either use the subfinderhelpdesk@mesd.k12.or.us email address or FORWARD the completion to the Help Desk so we have proof and can update your SubFinder Profile account.

When you do your BBP renewal online (Mon-Fri 7:30am - 4:30pm ONLY), the system will NOT automatically generate an email to the Help Desk. Please send an email to the SubFinder Help Desk so we can update your account.

12/02 - How can I increase getting jobs?
   

Happy Friday Substitutes,

The SubFinder Help Desk has been receiving numerous emails and phone calls about how a substitute can increase their number of jobs. This is a long email but it will give you some information about programs to consider to substitute in. If you wish to add a MESD program and do not have any MESD sites in your SubFinder account, you will need to complete the attached W-4 in order to be on our payroll BEFORE we can sign you up for a program or MESD site.

To make any additions to your SubFinder account, you will need to email the SubFinder Help Desk and tell us which site(s) or program(s) you wish to add. You cannot add them yourself.

Here are somethings you may want to consider:

  1. If you are a Substitute Teacher you can increase your jobs by adding "classified" positions to your SubFinder account. Classified is a Classroom/Educational Assistant. This is a lower rate of pay however, it will increase your chances for getting jobs and get yourself out there and known especially if you are new to these districts. Once added to your SubFinder account, SubFinder will call you depending the type of absence that needs to be filled whether it be Certified or Classified. It will NOT pick Certified before Classified so it's at an "as needed" basis.


  2. It is suggested that you market yourself. If you don't already have some type of business card to leave for the person you are substituting for a business card can be helpful. This business card should have at the minimum, your name, telephone contact, your credentials (licensing and endorsements) or type of positions you work (classified or Classroom/Educational Assistant), email address and your ID Request number. Anything more is up to you. Leave this with the employee you are substituting for and also give one to the school Secretary and ask if he/she would consider you for their preference list.


  3. Preference List, Preference List, Preference List!!! The SubFinder system allows employees to have a Preference list of substitutes to call when that employee is going to be absent. The employee can list as many substitutes as they wish. If none of those substitutes are available, the school may also create a preference list of substitutes they want called who are familiar with their building and students. If none are available on that list then SubFinder will go to the general Skill List of substitutes to call. As you can see, your goal is to work your way up the list to be a "preferred substitute" with that employee and/or school. This increases your chances of being called. More and more of the employees and schools are utilizing "preference listed" substitutes. It helps them get their absences filled more quickly and they get the subs they want. BECOME A PREFERRED SUBSTITUTE!!!


  4. Take a look at the districts we serve and see if you wish to add more districts or schools to your list. If you are a Substitute Teacher, your endorsements and authorization subjects and age levels do not pertain to substituting. If you check the back of your license, bottom left corner, it should say what you can substitute in anything. Initial, Initial I, Standards, Basics, should all say, "Substitute in Anything", anything that is, that you feel comfortable teaching in.   6. A Special Education endorsement on Teachers licenses are NOT necessary to work in a special education classroom setting. ALL DISTRICTS have these classrooms within their schools and are always looking for Substitute Teachers AND Classroom/Educational Assistants who are willing to work with these students. Many a times I have worked with substitutes who have tried these programs and have really enjoyed working with special need students. Most of the time, the substitute was just not familiar with these programs.


  7. Reynolds School District is looking for Noon Assistants. This is a position that requires the overseeing of children when they are at lunch and then go on the playground/recess duty. You do need BBP Bloodborne Pathogen in order to do this position but be aware that this position may only be for 2 hours. This is a great shift for those who are only looking for a few hours each day due to a limited schedule.

1/19 - Are all your certifications in your SubFinder account current?
  THIS IS A GENERIC EMAIL TO ALL SUBSTITUTES NO REPLY IS NECESSARY

Hello Substitute,

We are still receiving calls from schools and teachers who want to request a particular substitute but cannot because one or more of their certifications are either not current or are close to expiration. This prevents schools and teachers from requesting the substitute they want or to request them for a future job when one or more of the substitutes certifications are expiring.

We also have some SubFinder accounts that have expired licenses, expired Child Abuse or Bloodborne Pathogen certifications which will "inactive" your SubFinder account and you will not be able to receive calls for jobs. If your SubFinder account stays in an "inactive" status more than one month, your SubFinder account may be a candidate for removal from the SubFinder system. Please read all the instructions below carefully.

It is VERY important you check your SubFinder account and make sure we have your current certifications on file and it is current. If you did not notify the SubFinder Help Desk that you renewed one or more of your certifications your SubFinder Profile account may not be updated. Renewal programs like CAPT Child Abuse & BBP Bloodborne Pathogen DO NOT automatically generate an email message to the Help Desk advising us you have renewed. You must send a separate email to: subfinderhelpdesk@mesd.k12.or.us advising us you have renewed one or more of your certifications.

First thing to do to make sure your SubFinder account is current:

  • Go online and log into your SubFinder account:
  • Click Here: https://mesd.subfinderonline.com/
  • Enter your User Name: (Last name)
  • Enter your Password: (2 digit birthday month, 2 digit birthdate, last 4 of Social Security)
  • Go to Personal Info, Certifications to make sure your CAPT (Child Abuse) is current and BBP (Bloodborne Pathogen) Certification (if applicable) is current.

Also make sure your Sites and Positions are where you want to substitute at and what positions you wish to work in. While you are in there go to Address TAB and make sure we have your current email, telephone number and address. Substitutes cannot make changes to their positions, sites or addresses. You can email the subfinderhelpdesk@mesd.k12.or.us for those changes. You can make changes to your email address, phone number and availability only.

Remember, it is YOUR responsibility to make sure your account is current and that we have received your most current Licensing, CAPT & BBP renewal information. We highly recommend that you renew your CAPT & BBP now so that they are current ALL SCHOOL YEAR so schools can book you for future jobs without running into problems with your certifications.

When you complete your CAPT, on page 102, it asks for your First & Last Name and email address. If you put in YOUR email address, the SubFinder Help Desk does NOT receive notification that you have completed or renewed your CAPT. You must either use the subfinderhelpdesk@mesd.k12.or.us email address or FORWARD the completion to the Help Desk so we have proof and can update your SubFinder Profile account.

When you do your BBP renewal online (Mon-Fri 7:30am - 4:30pm ONLY), the system will NOT automatically generate an email to the Help Desk.   • You must enter your "District of Employment": MESD
  • Work Location: SUB
  • Then look for your name.

If you use to work as an employee for another district, your BBP renewal may still be under that school and site.

If you certifications are all current, no reply to this email is necessary.

For Substitute Teachers, Registered Nurses or any licensed substitutes, check your TSPC or State Board Licensing information to make sure it is current.

2/10 - How do I increase my job call count?
 

Happy Friday Substitutes,

The SubFinder Help Desk has been receiving numerous emails and phone calls from substitutes on how a substitute can increase their number of jobs. This email will give you some helpful hints to increase your job counts and some information about programs to consider substituting in.
Here are some things you may want to consider:

  1. If you are a Substitute Teacher have you considered adding "classified" as a Substitute Educational Assistant to your SubFinder account? This is a lower rate of pay however; it will increase your chances for getting jobs and get yourself out there and known especially if you are new to these districts and schools. Once this position is added to your SubFinder account, SubFinder will call you depending on the type of absence that needs to be filled whether it is Certified or Classified. It will NOT pick Certified before Classified so it's at an "as needed" basis. This is one way to market yourself and get known out there and to increase your job count.

  2. What are you doing to market yourself? If you don't already have some type of business card to leave for the person you are substituting for a business card can be helpful. This business card should have at the minimum, your name, telephone contact, your credentials (licensing and endorsements) or type of positions you work (classified or Educational Assistant), email address and your ID Request number. Anything more is up to you. Leave this with the employee you are substituting for and also give one to the school Secretary and ask if he/she would consider you for their preference list.

  3. Do you have contacts out there? What have you done to re-connect or stay connected to them? Do you have employees or schools you use to work for but they have not called you in awhile? Keeping yourself connected to these contact is essential.

Do you have all these districts in your site list in your SubFinder Profile account?

  6. Availability? Have you checked your availability in your SubFinder Profile account lately? Maybe last fall you took Tuesdays and Thursday off and you forgot to add it back in? Are you available 7am - 4pm Monday through Friday? This will increase your chances of being called. You can change your availability through WebConnect online or through the SubFinder phone.

  7. Are your certifications current? Log into your SubFinder Profile account, go to Personal Info, Certifications and make sure your Child Abuse (CAPT) and Bloodborne Pathogen (BBP if applicable), and Teaching License (if applicable) are current!!!

  8. Do you have enough positions listed to work in? Some Substitute Teachers feel that with their license they may be limited to teach only what they are endorsed in. This is not true. If you have an Initial, Initial I, Initial II, Basic, Standard, etc license, you have had enough education to teach other subjects you are not endorsed in. The key is, are you comfortable teaching certain subjects? Just because you are endorsed in Math does not mean you are not experienced enough to teach Language Arts if you are comfortable teaching that subject. Make sure you have a wide variety of subjects and positions.

  9. Remember, MESD and our districts serve several PROGRAMS for students with special needs and services. If you wish to add any MESD program(s) and do not have any MESD sites in your SubFinder account, you will need to complete the attached W-4 in order to be on our payroll BEFORE we can sign you up for a program or MESD site. The original W-4 must be received at our SubFinder Help Desk before we can sign you up for any MESD programs.

    To make any additions to your SubFinder account, you will need to email the SubFinder Help Desk and tell us which site(s) or program(s) you wish to add. You cannot add them yourself:
